• Work with key stakeholders to determine final floor plan and space set-up
• Gather to review day-of timeline to ensure smooth transition between activities/spaces
• Review and develop decoration plans and needs for day-of execution
• Manage event logistics and staffing during set-up, event and breakdown
• Manage vendor load-in and set-up: day-of contact for caterer, DJ, bartenders, photographers, etc. Provide direction to vendors for storage, set-up, A/V and electrical
• Manage space set-up: tables, chairs, photo areas, etc.
• Provide supplies, tools and labor for decorating, i.e. staple guns, tape, ladders, etc.
• Meet with photographer on-site to identify ideal photo areas and lighting
• Support parking volunteers on overflow parking coordination and direction
• Cue musicians/entertainment/toast
• Coordinate change-over and space transitions, i.e. ceremony to reception or VIP entry to general admission
• Help coordinate clean-up and breakdown: removal of trash, ice, food, a/v equipment and decor
